Challenge

At a music festival, the atmosphere is everything. Nothing kills it faster than a 25-minute queue for a drink, leading to frustrated fans and lost sales for vendors. The challenge was to build a solution from the ground up to eliminate queues for both guests and bartenders without disrupting the festival vibe.

Approach

As the sole designer on a tight timeline, I adopted a Lean UX approach, focusing on quick, impactful research to inform both the branding and the product design. Through quick conversations with festival-goers and bartenders, we identified the core problems for both sides of the bar. It was clear we needed a two-sided solution: an effortless ordering app for guests, and an efficient management interface for staff.

For the Brand: I created a vibrant, energetic identity—from the logo to the color palette—that matched the high-energy festival atmosphere to build trust and excitement.

For the Product: I designed a dual-sided system to address the distinct needs of both users. For guests, an intuitive mobile app allowed for ordering and payment at any time, with pickup only when the order was ready. For bartenders, an optimized tablet view provided a structured digital queue, allowing them to focus purely on fulfillment instead of managing crowds and payments.

Frustrating Wait Times

Guests can order and pay on their phones anytime. They only approach the bar when their order is ready for pickup.

Overloaded & Stressed Bartenders

Orders arrive in a structured, digital queue. Staff can focus on preparing drinks instead of managing chaotic crowds and payments.

Unclear Pickup Process

A clear QR code system and push notifications tell guests exactly when and where to pick up their order, eliminating confusion.

Complex Cup Refund System

We added a self-service refund system in collaboration with Tomra in the app, shifting the process to the customer and freeing up staff.

Testing

Before launch, we ran a crucial real-world simulation: we turned our office into a bar. One developer played the bartender while the rest of the team placed real drink orders via the app. This single session was invaluable; we timed every step, identified critical friction points in the bartender's UI, and refined the flow to reduce internal order processing time further.

Outcome

The app's real test came at the Fairground 2024 Festival. With hundreds of attendees, the results were definitive:

  • Wait times were cut by over 50%, dropping from an average of 25 minutes to under 12.

  • In post-event surveys, 90% of users reported a smoother experience compared to traditional ordering.

  • Bartender efficiency increased significantly. To support their high-volume workflow, I designed a dedicated, tablet-optimized layout for staff that provided an at-a-glance overview of all incoming and ready orders.
